Oktoberfest celebrations run seamlessly with ICRTouch

Oktoberfest, originating from Germany, and initially celebrating a royal wedding, has transformed into a worldwide celebration over the years, consisting of people enjoying traditional German beer, food and music.

The team at Barbican Events Limited organised this year’s Oktoberfest celebrations over multiple locations in the UK. In order to streamline service during the popular event,  the management team reached out to PanaEpos, an Authorised ICRTouch Gold Partner to implement a range of robust and reliable ICRTouch solutions for both the Bath and Hertford events.

The brief - the importance of quick & efficient order taking

The Oktoberfest celebrations see a high volume of customers during a fairly short period of time, meaning there is never a dull moment in the food and beverage areas. The PanaEpos team have supplied Barbican Events’ Oktoberfest for third year running, and across all the events, more than 215,000 pints of beer were served and nearly 60,000 tickets were sold over 30 separate event sessions.

This year’s event across Bath and Hertford welcomed 8,000 guests over 6 event sessions, where staff served over 20,000 pints of beer, almost 5,000 shots of alcohol and over 1,500 bottles of wine.

Therefore, introducing an EPoS ecosystem that could handle the busy event environment and provide a robust, reliable solution, was a crucial element of the planning phase. Taking place over different dates and locations, it was also crucial for the event management team to gain a complete bird’s eye view of performance. PanaEpos were able to provide an ICRTouch solution to streamline the management process.

The solution - robust and reliable tools to streamline event service

In order to streamline service across both events, the following solutions were installed:

  • 2 x TouchPoint tills

  • 60 x TouchPoint lite devices on Dojo Pocket

  • TouchOffice Web back-office management

  • ByTable self-ordering platform in VIP areas

  • The PanaEpos team worked hard to install the solutions quickly and efficiently during the event build, providing the Oktoberfest team with all the necessary tools to easily speed up service in the busy bar areas.

    The result - empowered staff and seamless customer experience

    The combination of TouchPoint tills and TouchPoint lite devices provided bar staff with complete flexibility to take orders and payments on the handheld devices, using the till terminals as backup. Not only did this significantly reduce queue times at the bar, but the overall customer experience was improved thanks to the efficiency gained.

    Implementing self ordering via ByTable in the VIP areas meant customers could quickly scan QR codes to order food and drinks to be delivered to their table, all from their personal devices. This implementation freed up the team from the order taking process and accelerated order preparations, also resulting in increased order totals and more orders.

    Thanks to TouchOffice Web, the Oktoberfest team had complete oversight of all ins and outs, providing them with useful information in real-time during the event on product performance, and transaction numbers, as well as post-event reporting.
